After you have created a release, you'll then need to complete the required details and settings for the release itself. To get started, fill out the information on the left-hand side of the Release Details screen.
Submit Status
While editing the release, ensure the status remains set to 'Draft Release'. You should only switch the dropdown to 'Final Release' and click 'Apply' once all release and track details are complete. This will lock the release (preventing any changes being made) and submit it to our content team for review. If everything is in order, releases are typically approved for distribution within a few working days, but can sometimes take a bit longer (depending on the release date, the number of releases submitted to us, etc).
Catalog
Enter your desired alphanumeric catalog number for the release. Each new release's catalog number should be sequential (e.g. LWR001, LWR002, etc). If you are creating download and streaming versions of the same release, we recommend keeping the catalog numbers related (e.g. LWR001 + LWR001S).
Record Label
If your label group account contains multiple record labels, use the dropdown menu to select the relevant record label that the release should be assigned to.
Release Artist
Click into this field to add release-level artists (if you selected a Display Artist when creating the release, this field can still be amended). If this is a Various Artists compilation, you can specify that from here.
Release Name
Enter the name of the release in this field. There are naming guidelines, depending on if the release is a:
- Single: the Release Name should match the name of the Track Name on the release. If the Single contains only a remix, then its Mix Name should be appended to the Release Name in brackets.
-
EP: the word 'EP' can be appended to the Release Name. If the EP contains 2 or 3 different tracks, the Release Name can use the track names separated by a forward slash (e.g. 'Track A / Track B').
Release Date
Click on this field to set the release date, as well as any other key dates associated with the release, such as the Original Release Date, Exclusive Store Date, Promo Expiry Date, and more.
Release Type
Choose from one of the three options which best describes the format of your release:
- Single: a single track only, but it can also include remixes or different versions of that same track.
- EP: 2 to 8 different tracks, it can also include remixes or different versions of those tracks.
-
Album: contains either 45+ minutes of music, a continuous DJ mix, or 8+ different tracks (this Release Type is commonly used when creating a compilation or Various Artists release).
C Line / P Line
Complete the C Line and P Line credits to identify the copyright and phonographic rightsholder (this is typically your label name, but may vary), along with the year associated with the release's copyrights.
Licensing Usage
If your label is opted into LW Recordings and/or Housesession compilation licensing, the tracks on the release will be available by default. To prevent licensing, simply set the relevant option to 'Not Available'.
EAN
Our system will automatically generate an EAN for the release after you have set it to 'Final Release', but if you already have an EAN or UPC for the release, you can provide it when adding details to a track.
You'll then need to complete the sections on the right-hand side of the Release Details screen, such as uploading the release's cover artwork, and a description to be displayed on the Dance Download DSPs.
Description
Enter a description of the release and its tracks (do not include emojis, links, or store names). This text is displayed on Beatport, Traxsource, and used in any PromoWorx campaign associated with the release.
Artwork
Upload a square JPG or PNG image (we recommend exporting this at 3000px × 3000px). Please note that your artwork cannot contain explicit material or words (must be censored), QR codes, or web links.
Promotion (PromoWorx)
If you're planning to run a PromoWorx campaign for the release, please set an
expiration date for this promotion. You may also upload custom images to be displayed
on the promotional download page.
Territories
By default, the release will be available worldwide, but you can restrict sales by territory if needed. Please note that some DSPs do not support territory restrictions and may put the release live in all territories.
Deliveries
This tab allows you to see which date the release is set to be delivered to each DSP (this is not the same as a release date, it is the estimated date the release will be delivered to the DSP in time for the release date). To change which DSPs a release is delivered to, use the 'Schedule' tool in the top icon menu.
Expenses (RoyaltyWorx)
If you're using RoyaltyWorx, be sure to enter any related expenses (such as mastering
or remix fees) so they're factored in when generating licensor statements.
Products (RoyaltyWorx)
If you're using RoyaltyWorx and the release has any physical
products
associated
with it, add them here so that you can allocate sales to them in the Simple Sales
Entry tool.
From the top icon menu on the Release Details screen, you also have the ability to control which DSPs the release will be delivered to and on what dates, as well as the option to enable pre-orders and pricing.
Schedule
This tool allows you to control which DSPs the release is delivered to and set different release dates for each of the DSPs. Please see this guide to request access to this tool and learn how to use it efficiently.
Pricing
This tool allows you to set the pricing on iTunes, as well as enable pre-orders for the DSPs that support this functionality. Please see this guide to request access to this tool and learn how to use it efficiently.
Preview
If you're planning to run a PromoWorx campaign for the release, this tool will allow you to preview the promotional download page that will be displayed to your promo recipients.
New Mix
Click this button to add a new track to the release.
Copy
This tool allows you to duplicate the release (e.g. to create streaming or download versions of the same release). Click this and specify a catalog number, you will then be presented with a duplicated release.
After completing the release details, you can then add tracks to the release. Tracks can be reordered by clicking and dragging the Sort icon, edited by clicking the Update link, and deleted by clicking the red X.
